Keep Your Mortgage and Finance Paperwork in One Secure Place with Capsafa

A free, secure digital vault we point every Commercial Finance Network client to once their deal completes

Every completion we work on ends the same way. The funds land, the keys or the facility are released, and a bundle of paperwork lands with them: the mortgage offer, the valuation, the deeds, the buildings insurance, the personal guarantee, the loan agreement. Six months later, when a lender writes asking for something or a rate is coming up for review, that bundle is spread across three inboxes, a filing cabinet and a folder on a laptop that has since been replaced.

Capsafa was built to fix that. It is a free, secure digital vault and financial life organiser from Capsafa Ltd, and we are pointing our clients to it because it solves a problem we see every week.

A stack of mortgage paperwork, a loose stapled agreement, two house keys on a plain leather fob and a kraft envelope handwritten Mortgage papers, spread across a dark wooden desk in soft window light
Every completion ends with a bundle like this. Six months on, it's rarely still in one place.

Why we are telling our clients about it

Commercial Finance Network arranges commercial mortgages, bridging loans, development finance, buy-to-let and residential mortgages for investors, developers and business owners across the UK and overseas. Our clients tend to hold more than one property, more than one loan and, often, more than one company. The paperwork multiplies with each deal.

Ask any of our advisers which phone calls they dread and you’ll get a version of the same answer. A client’s wife rings because she’s been told there’s a charge on the second flat and she has no idea which lender it’s with. A co-director rings because the company’s bank has frozen the account and nobody can find the mandate. A daughter rings about her father’s life cover and has to open by asking whether he had any. The borrower knew all of it. Nobody else did. Capsafa lets the account holder write it down once, somewhere they control, and choose who gets to read it. No passwords change hands at any point.

We have a selfish reason as well, and we’d rather say so. When a two-year fix is ending, or a twelve-month bridge is three months off its expiry date, the client who emails us the original offer, the current redemption statement and the insurance certificate that afternoon is the client whose refinance we can place quickly. The one who has to ring the lender for copies has lost a fortnight before we’ve started. If the paperwork lives in a Capsafa vault it’s a download, and a remortgage or refinance conversation with us gets going the same day.

What you get

Think of it as the index to your financial life. Each entry records who the provider is, what the product or policy is called, the last four digits of the account number and where the original paperwork sits, whether that’s a drawer at home or an upload into the vault itself. You can do either. The scope is wider than property: current accounts, pensions, ISAs, life cover, the will, and if you run a company, the corporate records that only you currently know the location of.

None of this costs anything, and the parts you’d rely on are staying free permanently. The document vault itself is where a mortgage offer, a set of deeds, a valuation report or a loan agreement can sit together rather than across four email accounts. Trusted contacts are people you invite personally; they get read-only access, and you pick one of six permission settings for each of them, so a business partner might see the property records and nothing else while your spouse sees everything. The Executor Pack is a PDF you produce yourself from inside your account, setting out for whoever ends up dealing with your affairs what exists and where they’ll find it. Renewal reminders flag policy dates and rate expiries before they arrive. And the Financial Life Map puts the whole lot on a single screen, which is more useful than it sounds the first time you look at it and spot a gap.

The password question

A closed navy notebook on a white surface with a brass key lying beside it but deliberately apart, in soft diffused daylight

Capsafa holds where things are and who to contact. It never holds passwords, full account numbers or logins.

People ask this before anything else, so here it is plainly. Capsafa has no passwords in it. No full account numbers either, and no login details for any bank, lender, insurer or pension provider. What it holds is a description of where things are. A trusted contact given your widest permission setting can read that description; they can’t log in anywhere with it and they can’t move a penny.

On the technical side, data is encrypted while it’s stored and while it moves, every account has to use two-factor authentication (there’s no opt-out), and an independent CREST-approved testing firm ran a penetration test against the platform before it launched and signed it off.

Capsafa’s security page goes through it in more detail than most people want.

Which of our clients this is for

A stone terrace of British mixed-use property at dusk, shuttered shop units with a To Let board below lit flats, the end building under scaffolding, wet setts reflecting the windows

Investors, developers and directors hold the paperwork for all of this. Capsafa keeps it findable by the people who’d need it.

Landlords and portfolio investors. You end up with one vault whether you own two properties or twenty. Against each one you record the lender, the product end date, the managing agent, the insurer and where the gas and electrical certificates are. Then you decide who else can see it, which for most of our investor clients means a spouse or a business partner who currently couldn’t name the lender on half the portfolio.

Company directors. Shareholders’ agreement, key person policy, the bank mandate, and the personal guarantees you signed for the commercial facility we arranged. If you were unreachable for a month, could your co-director or your accountant lay hands on any of it? Capsafa is where you make the answer yes.

Clients living overseas. UK property owned from Dubai or Singapore means paperwork on two continents and quite often family on both. One vault, online, with trusted contacts chosen by you, takes the distance out of it.

Anyone with a family. Most people’s affairs are perfectly well organised inside their own head. Capsafa is for the day that stops being enough.

How it works

Setting up takes minutes. You create a free account at capsafa.com, add your accounts and documents, or simply note where they are, and then invite the people you trust and choose what each of them can see. Capsafa’s how it works page walks through the three steps.

If you are a broker, adviser, will writer or accountant rather than a borrower, Capsafa also runs a free partner programme for professionals.

Frequently asked questions

Is Capsafa part of Commercial Finance Network?

No. Capsafa Ltd is a separate company with its own registration and is not FCA regulated. It shares a founder with Commercial Finance Network, which is why we know the product well enough to recommend it to clients.

Does Capsafa cost anything?

Capsafa is free to use, and the core features, including trusted contacts and the Executor Pack, will always be free. Premium features are planned for later, but nothing you rely on today will move behind a paywall.

Can Commercial Finance Network see what I put in my Capsafa vault?

No. Only you and the trusted contacts you personally invite can see your vault, and each contact sees only what you have allowed. Commercial Finance Network has no access to Capsafa accounts.

Is it safe to keep my mortgage offer and deeds online?

Capsafa encrypts everything, requires two-factor authentication on every account and never holds passwords or full account numbers. It was penetration tested by a CREST-approved firm before launch, and you can choose to record where the originals are kept rather than upload them.
